hfx flexible working solution enables the National Library of Scotland to manage flexible hours, overtime and time off in lieu (TOIL) for over 330 staff across six sites
hfx, a leading provider of flexible working systems, has announced that the National Library of Scotland has chosen hfx’s flexible working system to manage flexible hours, overtime and time off in lieu for over 330 staff across its six sites in Edinburgh and Glasgow. The organisation has implemented hfx’s flexible working system to support its flexible work policies, reaping efficiencies with reduced time spent by staff and HR on administration.
The Library uses the hfx solution to administer its flexible working policies. Employees at the Library can “clock” in and out using terminals in each of the different sites, or from their own PC terminals. Having the hours recorded systematically provides an overview of working practices for managers, enabling them to balance the operational requirements while meeting the needs of staff. The HR team believes that by the recording of all working hours in a transparent and equitable way, both staff and managers are assured that the flexitime policies are adhered to.

Using the hfx system, the HR team also administers the Library’s additional annual leave policy which is currently being trialled. This allows staff to purchase additional annual leave, e.g. for a particular planned trip. Managers can also use the hfx system to monitor where a member of staff returns from long term sick leave and where Occupational Health has recommended a phased return to work. The system can also support the recording of Shared Parental Leave.
hfx’s Etarmis integrates with all the mainstream HR systems including Oracle, SAP, PeopleSoft, Northgate and Software for People, as used by NLS, enabling organisations to manage flexible working, while keeping employee data synchronised across HR and payroll systems.
